About the project
An internal system where SECO Group employees propose IT improvements they find at work, and where those proposals are reviewed and answered. Employees log in with their company Microsoft 365 account, so there is no separate sign-up.
Each proposal moves from intake to a business review and an admin review, and the proposer and reviewers get an email at every step. The evaluation sheet is split into quantitative and qualitative items, and every edit keeps the previous version.
After launch we added features that came up in daily use, such as reward flags and reminders for pending proposals, and HankyeulLab hosts the system.

From proposal to review and results
Microsoft 365 login
Logging in with a company account brings in the name, department and title from the groupware, and the email domain sets the affiliate company.
Submitting a proposal
A proposal has a title, description, category and attachments, and it is only submitted after the confidentiality, privacy and intellectual property checks in the preview are ticked.
Two-stage review
Once an admin assigns reviewers, a business review and an admin review follow in turn. Reviews combine a grade (S, A, B or C), qualitative notes and feedback.
Evaluation sheet history
Items, weights and grade criteria are edited in the admin pages, and every change is kept in the history.
Email alerts and reminders
Emails go out on submission, reviewer assignment and completion, and proposals left untouched for more than seven days trigger a reminder every morning.
Statistics and rankings
Filtered by period and category, admins see proposals by category and month, participation by department, grade distribution, proposals per company and a proposer ranking.
